Terms & Conditions
Entering into an Agreement
A therapeutic agreement between the therapist and the client begins only after the therapist has explicitly accepted the request, either verbally and/or in writing. By making use of the therapist’s services, the client implicitly agrees to these terms and conditions and accepts the associated billing for services rendered.
The therapeutic process officially begins once both parties have signed and dated the treatment agreement.
The therapist reserves the right to decline a request for treatment. If this is the case, the therapist will clearly explain the reason.
Confidentiality, Record Keeping & Access to Records
All information shared by the client will be treated as strictly confidential, unless required by law or if the client gives written permission. As a healthcare provider, the therapist is bound by medical confidentiality.
The therapist is legally required to maintain a client file (WGBO). This includes personal details and session notes, which are securely stored for a period of 20 years, after which they will be destroyed.
Clients have the legal right to request access to their file. Requests must be submitted in writing.
Rates, Invoicing & Payment
Current session rates are listed on the Rates page. Any changes in fees also apply to existing clients, who will be notified at least four weeks in advance.
Payment is preferred via bank transfer. Invoices must be paid within 14 days of the invoice date. A 15% administrative fee may be charged for late payments. If no payment is made after a second 14-day reminder, the invoice will be handed over to a debt collection agency.
Cash payments are accepted immediately after the session. Card payments (PIN) are not available.
Cancellation Policy
-
Free cancellation up to 72 hours before your appointment
-
50% fee for cancellations made within 72 hours
-
Full fee for cancellations made within 48 hours, or if the client does not show up
-
Arriving more than 15 minutes late without prior notice is considered a missed appointment and will be fully charged
-
In exceptional cases beyond the client’s control, this policy may be reconsidered
-
If the therapist needs to reschedule, notice will be given at least 24 hours in advance
Complaints Procedure
If you are dissatisfied with any part of your care, the first step is to discuss your concern directly with the therapist. Complaints may be submitted verbally or in writing via info@mensch-therapie.nl. After receiving your message, we will aim to respond and resolve the issue within four weeks.
If resolution is not possible together, you may file a formal complaint through one of the following:
-
VBAG (Professional Association)
-
Complaints Officer at Quasir
-
Disputes Body Stichting Zorggeschil
The procedure can be found on the VBAG website. Mensch Therapie complies with the Dutch Wkkgz (Healthcare Quality, Complaints and Disputes Act).
Please notify the therapist before submitting a complaint to one of these bodies.
Liability
Dutch law applies to all services provided by the therapist. Any legal disputes will be handled by the competent court in the Netherlands.
General
The client agrees not to apply therapeutic interventions learned during sessions on others. Any exercises or tools are intended solely for the client's personal use and may not be taught or transferred.
No treatment or procedure will be carried out without the client’s consent.
